We believe that great leadership is powered by exceptional support. We are seeking an outstanding Executive Assistant to the EMEA President to join our clients team in Geneva, Switzerland. In this pivotal, full-time, permanent hybrid role, you will act as a trusted gatekeeper, strategic coordinator, and cultural ambassador. Balancing high-level executive support with the vibrant energy of office management, you will ensure both our regional President and our Geneva office operate at the absolute peak of efficiency.

Key Responsibilities

  • Master Calendar Ownership: Proactively manage the President’s complex calendar, strategically prioritising key business demands, resolving conflicts, and safeguarding their time for high-value tasks.
  • Global Travel Logistics: Plan and coordinate intricate international travel itineraries, managing transport, accommodation, visas, and complex entry requirements while liaising with embassies and foreign affairs offices.
  • Meeting & Presentation Preparation: Organise logistics and prepare materials for recurring leadership meetings and team events, consolidating reports and designing polished presentations to support executive decision-making.
  • Office & Culture Management: Oversee daily operations for the Geneva office, managing facility vendors, supplies, and workspace organisation to champion a welcoming and positive employee experience.
  • Financial Administration & Ad-Hoc Support: Deliver prompt, policy-compliant travel expense submissions alongside personal and administrative assistance to the President as required.

Required Skills & Experience

  • Executive Calendar & Travel Management: Proven experience in managing high-volume, ever-changing diaries and organising complex global travel across multiple time zones.
  • Diplomatic & High-EQ Communication: Outstanding interpersonal skills with the ability to communicate with absolute discretion, tact, and professional poise across all levels of global business.
  • Proactive Problem Solving: A self-starter attitude with the ability to anticipate executive needs, navigate ambiguity, and solve logistical challenges before they arise.
  • Excellent Organisation: Meticulous attention to detail with a track record of balancing executive support with office management duties.
  • Right to Work in Switzerland: As visa sponsorship is not available for this position, candidates must already hold the legal right to work in Switzerland.

Nice-to-Have

  • French Language Skills: Strong written and spoken French is highly desirable to facilitate local vendor management and seamless integration within the Geneva business community.
