At dwojjidw, we are looking for a proactive and detail-oriented Office Administrator to join our team on a permanent, full-time basis. Working directly from our vibrant local office, you will play a pivotal role in managing our day-to-day administrative operations, coordinating team schedules, and ensuring our workplace remains structured, welcoming, and highly efficient.

Key Responsibilities

  • Front-of-House & Communications: Serve as the first point of contact for dwojjidw, managing incoming phone calls, responding to general email inquiries, and welcoming visitors with a professional and friendly demeanour.
  • Office Operations: Oversee daily office maintenance, monitor and replenish office supplies, manage incoming/outgoing post, and liaise with external vendors and building facilities management.
  • Document & Data Management: Maintain accurate digital and physical filing systems, assist with basic data entry, and prepare high-quality documents, templates, and spreadsheets for internal team use.
  • Meeting & Event Coordination: Coordinate internal and external meetings, manage shared calendar bookings, prepare meeting rooms, and assist in organizing occasional company team-building events.
  • Financial & Admin Support: Assist the finance department with basic administrative tasks, including processing expense claims, sorting invoices, and tracking office receipts.

Required Skills & Experience

  • Proven Administration Experience: At least 1–2 years of experience working in an office administration, reception, or team assistant role.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and comfortable adapting to new digital tools and databases.
  • Exceptional Communication: Outstanding written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Time Management: Excellent organisational skills with a proven ability to prioritises tasks effectively and multitask in a fast-paced environment.
  • Attention to Detail: High accuracy in data entry, proofreading, and maintaining internal records.

Nice-to-have

  • Prior experience working with project management software (such as Trello or Asana).
  • A basic understanding of bookkeeping principles or experience using accounting software like Xero.
  • First Aid or Fire Warden certification.
