Overview We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Operations Coordinator to support the day-to-day administrative and operational functions of a growing SEO and digital services business.
This role is ideal for someone who thrives in a fast-paced environment, communicates professionally, learns quickly, and can execute tasks with minimal supervision. The ideal candidate is dependable, resourceful, and capable of handling a wide variety of responsibilities ranging from client communication and onboarding to invoicing coordination and operational support.
This is not a pure marketing role. The focus is operational efficiency, administrative support, organization, and helping keep internal workflows moving smoothly.

• Assist with client onboarding and administrative coordination • Manage contracts, forms, and operational documentation • Handle client communication and follow-up tasks via email and messaging platforms • Support invoicing and billing processes • Coordinate with fulfillment and internal teams to ensure tasks are completed promptly • Conduct online research for vendors, tools, platforms, and operational needs • Maintain organized records and communication threads • Help monitor task completion and operational follow-through • Assist with scheduling, reminders, and day-to-day business operations • Respond professionally and promptly to emails and internal communication • Learn and adapt to evolving workflows and systems
