Role Overview

We are seeking a proactive and highly organised Clinical Scheduling Coordinator to manage the complex logistics of our therapy services. This role is far more than basic data entry; you will be the engine that ensures our clients receive the consistent care they need by maximisng the utilisation of authorised hours and ensuring seamless communication between families, clinical staff, and Registered Behaviour Technicians (RBTs).

Key Responsibilities

  • Resource Allocation: Assign RBTs to new clients and coordinate the commencement of services with families and clinical supervisors (BCBAs).
  • Utilisation Management: Build and maintain weekly schedules to ensure high utilisation of authorised hours, proactively filling gaps using creative methods such as backup RBTs and flexible shift blocks.
  • Stakeholder Communication: Act as the primary point of contact for schedule updates, ensuring families, BCBAs, and RBTs are kept informed and aligned.
  • Compliance Tracking: Monitor reassessments, treatment plan expirations, and reauthorisation deadlines to prevent any interruptions in service.
  • Systems Management: Maintain meticulous documentation of all schedule changes and service updates within CentralReach.

Required Skills and Experience

  • Proven experience in scheduling, coordination, or case management within healthcare or behavioural health sectors.
  • Exceptional communication skills with the ability to support families with empathy and warmth.
  • Strong technical proficiency, specifically with CentralReach or similar practice management software.
  • Fluency in English and a strong understanding of the US healthcare market and service expectations.

Nice-to-Have Qualifications

  • Direct experience within Applied Behaviour Analysis (ABA) therapy environments.
  • Advanced proficiency in Microsoft Teams and complex spreadsheets.
