Role Overview
We are a national ABA therapy provider dedicated to supporting children and families across the United States. We are seeking a highly professional and compassionate Intake Specialist and Rethink Coordinator to bridge the gap between clinical operations and family support during our after-hours window (12:00 PM – 8:00 PM ET). This dual-function role serves as the first point of contact for families seeking life-changing services and providing critical technical support to our frontline Registered Behavior Technicians (RBTs).
Key Responsibilities
- Family Intake & Engagement: Act as the first point of contact for after-hours inquiries, providing empathetic, professional communication while accurately collecting intake data and explaining the ABA service journey.
- Clinical Platform Coordination: Serve as the primary support lead for the Rethink platform, assisting RBTs with onboarding, session note documentation, and real-time technical troubleshooting.
- Operations Support: Route and escalate urgent clinical matters to the appropriate teams while ensuring all documentation meets compliance standards.
- Onboarding & Training: Guide new RBTs through system navigation to ensure they are confident in data collection and reporting before starting with clients.
Required Skills & Qualifications
- Proven experience in ABA, behavioral health, or autism services.
- Deep familiarity with ABA terminology and workflows (RBT roles, data collection, authorizations).
- Hands-on experience using Rethink or similar ABA software (CentralReach, Catalyst, etc.).
- Exceptional English communication skills with a professional, neutral phone presence.
- Strong technical aptitude with the ability to simplify complex software instructions.
Nice-to-Have Qualifications
- Bilingual proficiency in Spanish and English.
- Prior experience in a remote intake or customer success role.
- Flexibility to pivot into evolving operational roles as the company scales.
